WhatsApp Business App vs API (and Coexistence) for catalog sellers

Last updated:

Most Indian catalog sellers start on the WhatsApp Business App—profile, catalog, labels, and quick replies on one phone. The WhatsApp Business Platform / Cloud API is for higher volume, multi-agent inboxes, and approved template messaging through a provider (BSP). Coexistence is Meta’s path to keep using the Business App while connecting API capabilities on related setups—but catalog and order tools may not behave the same inside an API inbox. Verify details on Meta’s current docs. Meanwhile, use a real store checkout for payments and orders you cannot safely run only in chat.

WhatsApp Business App — what it’s good for

The WhatsApp Business App is the phone app most Indian sellers already know. It is built for a shop that lives in chat:

  • Business profile — shop name, category, address, hours, and a short description
  • Greeting and away messages — so new chats know you sell and when you reply
  • Quick replies — for “price?”, “sizes?”, “delivery time?”, and payment instructions
  • Labels — to mark leads, paid, shipped, or follow-up without a separate CRM
  • Catalog / collections — product cards and a catalog link buyers can browse in chat

For low to medium volume from one device (or a small set of people sharing one phone), the App is often enough. You show products, confirm the order in chat, collect UPI or COD, and move on. That matches how many boutiques, gift shops, and Instagram-first sellers still work day to day. For the practical catalog → payment → invoice flow, see How to sell on WhatsApp in India.

Limits (qualitative, not a scorecard): operations stay close to a single-device style of work. Broadcast and messaging limits exist and change over time—check WhatsApp’s current Business App help. Team support is hard when three people need the same inbox at once. Long threads bury confirmed orders. Catalog photos and prices can drift from what you bill at the counter. Festival weeks make this worse: the same chat that closed a sale also holds delivery addresses, size swaps, and payment screenshots. None of that means the App is “wrong”; it means the App is a conversation tool, not a full order and stock system.

A useful mental model: the App is excellent at talking and showing. It is weaker at being the only place where stock, GST invoice numbers, and “who paid what” stay accurate for months. Pairing chat with a store checkout link is often the first upgrade—not API.

WhatsApp Business API (Cloud API via a BSP) — what it’s for

The WhatsApp Business Platform / Cloud API is the developer and partner path. In practice, Indian sellers almost always reach it through a Business Solution Provider (BSP) or inbox product—not by building against Meta’s APIs alone. ShopSynq is not that BSP layer; if you need Cloud API connectivity, you choose a Meta-approved provider (or an inbox that sits on one) and follow their onboarding.

Typical reasons teams look at API:

  • Multi-agent customer care — several people in one shared inbox with assignment and history
  • Template messages — utility or marketing templates that go through Meta’s approval rules (exact categories and policies live in Meta’s docs)
  • Automations and CRM-style workflows — order updates, reminders, and structured replies at volume

Costs (qualitative only): expect Meta conversation charges plus BSP / inbox fees. Rates and conversation categories change. Do not use blog INR tables as truth—check Meta’s current pricing pages and your provider’s quote. “API” does not remove Meta fees; it usually adds provider cost on top of conversation pricing. Budget for setup time as well: template drafting, approval waits, and training the team on a new inbox often matter more than the first month’s line item.

API is not automatically better than the App. If you are a solo seller with a tidy catalog and clear UPI habits, jumping to API for status is expensive noise. Lean API when shared inbox or approved templates are a real bottleneck. If your bottleneck is “customer cannot finish pay without five screenshots,” fix checkout with a store first.

Coexistence — plain English

Coexistence (Meta also describes this under Embedded Signup flows for onboarding Business App users) is Meta’s way to keep using the WhatsApp Business App while connecting Cloud API capabilities for the same business journey. The goal is not “delete the App and move everything to a web inbox overnight.” It is to add API features without throwing away the phone app your team already knows.

Read Meta’s official guide before you change anything:

Onboarding WhatsApp Business app users (Coexistence)

Catalog and commerce caution (phrase carefully): Meta’s feature table in that doc states that Business tools such as catalog, orders, and status typically remain available on the WhatsApp Business App after Cloud API onboarding (“No change”), and are listed as Not supported on Cloud API in that Coexistence / onboarding context. In plain language: catalog and order tools usually stay App-side; do not assume full commerce parity inside an API inbox. Test catalog shares, order-related messages, labels, and templates on your own number after any Coexistence enablement. If Meta’s table or help text has changed since this guide was written, trust Meta’s current docs over this article.

Coexistence does not replace the need for clear payments, GST invoices, or stock accuracy. Marketplace sync (Amazon, Flipkart, Meesho, and similar) is a separate problem—and you should not expect marketplace live sync “via WhatsApp.” On ShopSynq, marketplace connectors are under development and are not the subject of this guide.

Sellers often hear “enable Coexistence and everything stays the same.” Treat that as a hope, not a test plan. Run the checklist in the migration section below. If a catalog share or order flow fails in the API inbox but still works in the App, that may match Meta’s documented split—adjust your process (for example, keep catalog sharing on the phone App, use API for templates and shared replies) rather than assuming a bug.

How this connects to ShopSynq

Keep WhatsApp (App, and later API if you need it) for discovery and conversation. Use ShopSynq as the operating system for:

  • Browse → cart → checkout on your own store
  • Order records that do not live only in unread chats
  • Billing and GST-ready invoices
  • Inventory shared with counter sales
  • AI insights on what needs attention (stock, follow-ups)—without promising new customers or sales

ShopSynq is not a Meta BSP and does not replace WhatsApp. WhatsApp-related automation in ShopSynq means product-supported templates and notifications where the product offers them—not a claim that ShopSynq owns WhatsApp infrastructure or full BSP replacement.

If Instagram is still your main discovery channel, pair this with Instagram to your own store. If double entry between store and billing is the real pain, read One system for store and billing. Capability map and plans: /features and /pricing.

Practical migration path (no scare tactics)

  1. Keep the App catalog working — clear photos, INR prices, size/colour notes. Do not rip out what already converts in chat. Update a few best sellers weekly so the App catalog stays trustworthy even after you add a store.
  2. Add store links in chat for payment clarity — send a product or checkout link when options, stock, or payment disputes pile up in screenshots. Write the total in chat before they pay, whether the money lands via UPI or gateway.
  3. Only add API when team or templates require it — shared inbox and approved notifications are the usual triggers, not “everyone else has API.” Write down the concrete pain (“two people reply to the same customer,” “we need shipping updates at 8pm”) before you sign a BSP contract.
  4. If you enable Coexistence, run a short test checklist before you cut over habits: catalog share, order-related message, label, and a template send. Confirm results against Meta’s Coexistence / onboarding doc. Keep a fallback: phone App for catalog, store link for checkout, API inbox for team replies.
  5. Make the store/OS the system of record for stock and bills — WhatsApp stays the conversation layer; ShopSynq (or your chosen OS) holds products, orders, and invoices. Train the team: chat can start the sale; the order list and bill finish it.

Close

Do not “upgrade to API” for status. Upgrade when inbox load or approved templates demand it. If the real pain is unclear checkout, missing GST invoices, or stock that does not match the counter, fix that with a store + billing OS first—App or API on top. Check Meta’s current docs whenever Coexistence or Cloud API behaviour matters for your number.

Frequently asked questions

Do I need the API to sell on WhatsApp in India?
No. Many Indian sellers run catalog, UPI/COD, and follow-ups on the WhatsApp Business App alone. Consider Cloud API (usually via a BSP) when you need a shared multi-agent inbox or approved template messaging at scale—not as a default upgrade.
What is Coexistence in plain language?
Coexistence is Meta’s path to keep using the WhatsApp Business App while connecting Cloud API capabilities for related setups (Meta also documents this under Embedded Signup onboarding for Business App users). Always confirm current behaviour in Meta’s official docs before you change your number.
Will my WhatsApp catalog still work if I enable API/Coexistence?
Meta’s Coexistence onboarding docs indicate Business tools such as catalog and orders typically remain on the WhatsApp Business App and are not supported the same way on Cloud API in that context. Verify on Meta’s current feature table, then test catalog shares and order flows on your number before you cut over.
Is ShopSynq a WhatsApp BSP?
No. ShopSynq is an ecommerce and retail management platform (store, billing, inventory, insights). It is not a Meta Business Solution Provider and does not claim to own WhatsApp infrastructure.
Can ShopSynq replace WhatsApp?
No. Keep WhatsApp for chat and discovery. ShopSynq helps with storefront checkout, order records, billing, stock, and attention insights alongside WhatsApp—not instead of talking to customers.
Does API remove Meta fees?
No. Cloud API usage typically involves Meta conversation charges plus your BSP or inbox provider fees. Check Meta’s current pricing and your provider’s quote—do not rely on invented INR rates from blogs.
